Website Project Coordinator
Job Description
As a Project Coordinator at Torro Media, you will own the client experience for our ongoing website support accounts. This role is the connective tissue between clients and our internal Web team — responsible for managing requests, maintaining clear communication, and making sure work gets done on time and to a high standard.
You’ll keep projects moving, clients informed, and teams aligned. That means managing workflows, flagging risks before they become problems, and holding yourself accountable for outcomes — not just task completion.

Key Responsibilities:
Client Support & Coordination
- Serve as the primary point of contact for assigned website clients
- Manage incoming support requests, updates, and enhancements — documenting, prioritizing, and scheduling each one
- Build strong client relationships by setting clear expectations, providing accurate timelines, and communicating progress consistently
Project & Workflow Management
- Manage website projects from kickoff through launch, ensuring timelines, deliverables, and client expectations are met at every stage
- Maintain clear project documentation including scope, milestones, and status updates throughout the project lifecycle
- Onboard new website clients and document their ongoing website needs
- Coordinate recurring maintenance, updates, and improvement initiatives across client accounts
- Work with internal teams to plan and manage support tasks within client retainers or support agreements
- Monitor workloads and timelines to balance priorities across multiple clients simultaneously
Communication & Reporting
- Provide proactive updates to clients on support activities, completed work, and upcoming timelines — before they need to ask
- Schedule and facilitate check-ins or review meetings with support clients as needed
- Act as the liaison between clients and internal teams to clarify requirements, surface feedback, and keep everyone aligned
- Maintain organized records of client requests, updates, approvals, and support tasks
- Track support work and generate reports on workload, turnaround times, and client usage
Quality Assurance & Issue Management
- Review completed website updates to ensure accuracy, functionality, and alignment with client expectations
- Identify potential risks, recurring issues, or bottlenecks in ongoing support workflows
- Work with the Web team to resolve issues quickly and improve how support gets delivered
- Flag capacity concerns or patterns to leadership before they become problems
Team Collaboration
- Coordinate with design and development teams to ensure support requests are assigned and completed efficiently
- Identify opportunities to improve website performance, usability, or internal processes
- Take ownership of problems — not just flag them, but drive them to resolution

Qualifications
- Bachelor’s degree in marketing, digital media, project management, or a related field
- Experience coordinating client work in a digital marketing, web, or agency environment
- Strong organizational skills with the ability to manage multiple clients and competing priorities simultaneously
- Excellent written and verbal communication skills
- Familiarity with project or task management tools such as Monday.com or Asana
- Working knowledge of CMS platforms including WordPress, HubSpot, and Shopify
- Understanding of website management and web design processes
Preferred Skills
- Experience supporting ongoing website clients or retainer-based accounts
- Familiarity with web design and development tools and platforms
- Understanding of digital marketing concepts and how websites support broader marketing goals
